TERMS AND CONDITIONS
Payment of your deposit serves as acceptance of the terms and conditions outlined below.
By purchasing or participating in this tour, you acknowledge that Chasa Tours acts solely as an independent intermediary between you and the suppliers of goods and services not directly provided by Chasa Tours. These services may include accommodations, ground transportation, tours, andguides. Chasa Tours is not responsible for the actions or omissions of these suppliers, which may result in loss, damage, delay, or injury to you, your travel companions, or group members. Additionally, you understand and agree that the terms and conditions set by these suppliers will also apply. Neither Chasa Tours nor any organization contracting its services shall be liable for any injuries, damages, or losses incurred by travelers due to social or labor unrest, mechanical or construction difficulties, diseases, local laws, climatic conditions, war, terrorist activities, or any other circumstances beyond their control. By choosing to travel, you voluntarily assume all associated risks. Your booking with Chasa Tours constitutes acceptance of these terms and conditions. By engaging Chasa Tours, you acknowledge and agree to release Chasa Tours from any liability related to travel arrangements made on your behalf. Furthermore, any claims for restitution or damages, if applicable, must be addressed directly with the respective suppliers.
Final Payments
Full payment must be made no later than 30 days before your arrival date unless otherwise specified in writing. Intermediate payments may be invoiced as needed to cover hotel deposits and other tour-related expenses, where applicable. Accepted payment methods include checks, Visa, Mastercard, and American Express. Failure to make payments on time may result in the automatic cancellation of your reservation.
Form of Payment
We accept certified checks, money orders, credit cards, and wire transfers as payment at any time. Personal checks are also accepted, provided they are received at least 45 days before the departure date. Please note that any returned checks will incur a $50 service fee. In the event of a billing error, whether due to human or computer oversight, we reserve the right to reissue an invoice with the correct billing details.
Price
All prices are quoted in U.S. Dollars and are based on the exchange rates at the time of the offer. Chasa Tours reserves the right to modify prices at any time before departure without prior notice, should circumstances require such adjustments. Major fluctuations in currency values may impact the final price of the tour or services.
Not Included
Personal expenses, such as telephone calls, mini-bar items, laundry, meals not specified in the tour package, alcoholic beverages, beverages other than water, spa services, and optional activities, are not covered by Chasa Tours.
Any additional charges for these items will be billed to you prior to departure from the hotel, restaurant, or service provider. Please refer to each tour’s details for a complete list of inclusions and exclusions. Failure to settle any additional charges you are responsible for will result in a 20% penalty fee applied to any charges covered by Chasa Tours.
Passports, Visas, & Documents
All U.S. citizens must have a valid U.S. passport that remains valid for at least six months beyond the date of entry. If you do not have a valid passport, please contact your local passport office for assistance. Generally, U.S. and Canadian citizens do not require visas for most destinations visited by Chasa Tours. However, travelers of other nationalities should check with the respective country’s consulate to confirm visa requirements. If a visa is required, it is the traveler’s responsibility to obtain it. Please note that cancellations due to insufficient documentation will be subject to standard penalties.
Final Documents
Final documents will be issued once the full payment has been received and will be provided within two weeks of departure. Please note that the issuance of documents is not guaranteed if the final payment is not received on time. Upon receiving your documents, it is your responsibility to carefully review your itinerary to ensure that your name, dates, times, and other essential details are accurate. If you notice any errors, it is your responsibility to promptly contact Chasa Tours.
Data Protection
Chasa Tours may request personal information from you, including but not limited to birth dates, passport details, dietary preferences, or relevant medical conditions. Rest assured, this information will be handled with strict confidentiality. It will only be shared with suppliers when necessary to ensure the proper provision of services to the traveler.
Participation
Chasa Tours and its contracted suppliers reserve the right to refuse or remove any individual whose behavior is deemed disruptive to the smooth operation of the tour or poses a risk to the safety or enjoyment of themselves or other travelers. In such cases, Chasa Tours, its agents, and suppliers will not be liable for any refunds, compensation, repatriation, or related matters
Cancellations and Refunds
Cancellations will only be accepted in writing upon receipt of a deposit or partial/full payment. Cancellation fees are based on the date we receive the written cancellation and include a $400 per person administrative fee. If the deposit amount is less than the administrative fee, the deposit is non-refundable. Refunds for any additional payments made will be issued as follows: • More than 30 days before departure: Full refund, minus the $400 per person administrative fee. • 30 to 22 days before departure: 70% refund. • 21 to 15 days before departure: 30% refund. • 14 days or less before departure: No refund. Refund requests must be submitted in writing to info@chasatours.com; phone cancellations will not be accepted. Refunds will be processed within 30 to 60 days after receiving written notice. No exceptions to the cancellation or refund policy will be made due to death or illness.
Travel Insurance
We highly recommend purchasing travel insurance to protect your travel plans. Upon receiving the necessary information, Chasa Tours will provide a travel insurance quote for all U.S. citizen travelers. It is the traveler’s responsibility to review and decide whether to accept or decline the insurance offer.
COVID-19
In the event of travel disruptions due to the COVID-19 pandemic, including but not limited to travel restrictions, quarantine requirements, or other government-imposed regulations, Chasa Tours reserves the right to adjust or reschedule travel plans as needed. Travelers are responsible for staying up to date with travel advisories and adhering to applicable regulations. Any additional costs resulting from COVID-19-related changes will be the traveler’s responsibility. Chasa Tours will make reasonable efforts to manage such situations and offer alternative arrangements when possible. We also recommend purchasing travel insurance to help mitigate potential financial losses due to COVID-19-related issues.
Hotel Accommodations
Hotel accommodations are arranged in double-occupancy rooms, which may be either twin-bedded or single-bedded. Chasa Tours reserves the right to change hotels to a similar category without prior notice if necessary. Room assignments will be made by the hotel upon check-in. Private Rooms and Single Supplement A limited number of single rooms are available at an additional cost. Please note that single rooms may be smaller than twin or double rooms.
Meals
Most tours include daily breakfast, with additional meals provided as specified in the individual tour details. Meals are typically served at your hotel or pre-arranged local restaurants. Please note that beverages are not included with meals unless stated otherwise. No refunds will be offered for unused meals if you decide not to participate. Special meal requests can be accommodated if made at the time of booking; however, we cannot guarantee all dietary preferences will be met.
Responsibility
Clause Chasa Tours acts as the Tour Manager. The suppliers responsible for transportation, sightseeing arrangements, and hotel accommodations are independent contractors, not agents or employees of Chasa Tours. All coupons, receipts, and tickets issued are subject to the terms andconditions of the suppliers. By using the services of these suppliers, you agree that Chasa Tours is not liable for any changes in flight schedules, itinerary alterations, strikes, delays, acts of government, fires, riots, theft, epidemics, pandemics, quarantine, medical or customs regulations, accidents, or any loss, injury, or damage to you or other travelers related to accommodations, transportation, or services due to conditions beyond Chasa Tours’ control. This includes vehicle defects, equipment breakdowns, theft, delays, cancellations, or itinerary changes resulting from any event during the tour. Chasa Tours is not responsible for late arrivals at airports or hotels due to inclement weather, nor liable for payments, refunds, or transfers for unused hotel accommodations or meals in such cases. Passengers will bear the cost of these losses or expenses. In the event of trip cancellations due to circumstances like acts of war, terrorism, or natural disasters, Chasa Tours is not responsible for restitution. While efforts will be made to follow the itinerary, it should be considered as a guide rather than a contractual commitment. Changes in the sequence of visits or omissions of certain visits may occur due to local religious holidays, national events, or traffic conditions. Chasa Tours and its guides are not responsible for any issues related to pricing, quality, or authenticity when shopping. The guides’ role is to show you historic sites and handicraft workshops, and any purchases made are at your discretion. Clients are solely responsible for negotiating prices.
Special Medical Conditions and Those Requiring Special Assistance
Any disability that requires special attention must be reported to Chasa Tours at the time of completing the traveler form. While we strive to accommodate passengers with disabilities by providing accessible rooms where available, we cannot guarantee accessibility nor are we responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. Please note that our tours operate outside the U.S., where the Americans with Disabilities Act (ADA) does not apply, and facilities for disabled individuals may be limited. Most transportation services may not be equipped with wheelchair ramps or lifts. Unfortunately, we are unable to provide individual assistance to tour participants for activities such as walking, dining, in-room needs, boarding or disembarking vehicles, or other personal requirements. Travelers who require special assistance must be accompanied by a qualified, physically able companion, and it is the responsibility of the traveler to arrange for such assistance prior to booking. Motorized scooters are not suitable and cannot be accommodated. Chasa Tours is not responsible for any medical conditions that arise before, during, or after the tour. Pregnant or breastfeeding women considering international travel should carefully assess potential risks and the quality of medical care available at the destination and during transit. We recommend discussing any concerns with their physicians prior to travel.
Young Travelers
Travelers under 18 years old on the departure date must be accompanied by an adult. Due to increased security measures, many countries have implemented regulations to prevent international child abductions. If a child will be traveling with adults other than the parents, it is recommended that the parents provide a notarized letter granting travel authorization, including travel dates. Children and infants may qualify for discounted rates, based on the reduced rates offered by suppliers for young travelers. For Chasa Tours, an infant is defined as anyone under 24 months of age for the entire duration of the trip, while a child is anyone aged 24 months to 11 years for the entire duration of the trip. Please note that some accommodations may have restrictions on the number of children per room, regardless of age, which could require the purchase of additional rooms.
Safety
Please note that participating in tours operated by Chasa Tours may involve certain risks and hazards beyond our control. These risks include, but are not limited to, traveling in less developed areas, using various modes of transportation, and being exposed to natural elements, political unrest, or the possibility of accidents or illnesses in remote regions lacking rapid evacuation or adequate medical facilities. Chasa Tours does not assume responsibility for the availability or quality of medical care. Additionally, Chasa Tours is not liable for any compensation if cities or sites are omitted from the itinerary due to circumstances beyond our control.
Tour Cancellation by Operator
Occasionally, a tour departure may be canceled due to insufficient participation. In such cases, the operator’s only responsibility is to issue a full refund. Chasa Tours is not liable for any additional costs or fees associated with the issuance or cancellation of air tickets or other arrangements not made through Chasa Tours. Cancellations resulting from state advisories, warnings, acts of war, terrorism, natural disasters, or other circumstances beyond the control of Chasa Tours are not the fault of the company. Refunds will not be issued for cancellations due to these reasons. Every effort will be made to accommodate travelers on an alternative trip, and they will have the option to reschedule for a private tour, which may incur additional costs.

Chasa Tours is not liable for typographical or printing errors, including inaccuracies in trip costs. We reserve the right to correct billing or re-invoice at any time.
